Coach and Referee Volunteers

Being an AYSO coach or referee is a rewarding experience, but we do have requirements to fulfill before getting started.

Steps to Becoming a Coach or Referee Volunteer

For detailed steps for Youth Referees, please review our Youth Referee page.  In order to coach or referee in our league, every volunteer must complete the following steps:

STEP 1: Register as an AYSO Coach or Referee Volunteer.
  • Login to your Family Profile and ensure that the parent who will coach or referee is listed in your Family Profile. 
  • If the parent who will be coaching or refereeing is not yet in the Family Profile, their spouse will need to log in and add the parent to the profile by clicking the Add New User” button.
  • Please be sure that the volunteer name of the coach/referee volunteer is the legal name or a close variation to the legal name (middle name not required) and that the birth date and email address you have entered for the parent volunteer are correct.
  • The name, email address, and birth date info will need to be accurate in order to complete AYSO’s background check requirement.
  • Complete the form entering the new volunteer’s information.
STEP 2: Complete Your "Volunteer Preferences".
  • In your Family Profile, choose your Volunteer Preferences by selecting the green “Volunteer Now” or “Review Volunteer Preferences” button next to your name. 
  • Please do not select the button next to your name unless you yourself intend to fill the coach or referee role.
  • Check the appropriate Volunteer Preferences boxes indicating whether you will be a Head Coach, Assistant Coach, Referee, or Assistant Referee and which divisions you are committed to coaching or refereeing in.
  • Please do not select a coaching role and a referee role unless you wish to fill each role for different teams.
  • Please do not select a coaching or referee role unless you yourself intend to fill the role.
  • You will be assigned to a team in a division based on the boxes you check.  Please be sure that only the division/child you intend to coach or referee for is selected in the checked boxes.
  • If you check multiple division boxes, you will likely be assigned as a coach or referee volunteer for multiple teams.
  • After completing or updating your Volunteer Preferences, please make sure you click the green “Submit” button at the bottom of the page.
STEP 3 (Optional): 3-Volunteer Policy (Team Requests).
  • The league will only guarantee a team or coach or player request through our 3-Volunteer Policy.
  • Two(2) or three(3) families will be assigned to a team together so long as their players are in the same division and a parent from each family fills the Head Coach, Assistant Coach, and/or Referee volunteer roles.
  • Each of the parent volunteers must be registered parents in our registration system and must mutually name each other as team volunteers in the field marked “Coach/Ref/Volunteer Comments” which is located at the bottom of the “Volunteer Preferences” in your Family Profile.
  • The “Coach/Ref/Volunteer Comments” must detail which parent is filling which coach or referee role in order for us to accommodate the request and must be limited to 3 volunteers per team.
  • Here’s an example of how to complete the Coach/Ref/Volunteer Comments section.
  • No requests for more than 3 families on a single team will be accommodated.
  • Spouses who are not coaching or refereeing should not complete volunteer preferences for themselves and should not complete AYSO’s background check process.
STEP 4: AYSO Volunteer Membership and Background Check Process
  • All coach and referee volunteers must annually complete AYSO’s volunteer membership and background check process.
  • Volunteers should renew or complete the background check application process by logging in to their Family Profile at ayso300team.org/app/family-profile and then selecting the “Begin Background Check” link listed near their name.
  • If you do not see the “Begin Background Check” prompt for the parent volunteering (not the volunteer’s spouse), please be sure to review and complete Steps 1 and 2 above.
  • Sterling Volunteers is AYSO’s 3rd party vendor for completing background checks.  If you’re a returning AYSO volunteer, you’ll be asked to login to Sterling’s website with your existing *Sterling* login information, verify some information and then submit your background screen application.
  • If you’re a new volunteer, you’ll need to first provide detailed personal information in order to create a new Sterling account, and then submit your background screen application.  The personal info- email address, Date of Birth, Zip Code must match the same info that you entered when you registered.
  • Please follow the links and further instructions so that you can submit your background check application as soon as possible.
  • There is a $25 charge for the background screening process, which our league pays.  Parents do not need to enter credit card info to complete the background check process as the league is absorbing that cost.
STEP 5: Complete Required AYSO Online Training.
  • AYSO-U (powered by eTrainU) is AYSO’s Learning Management System for training coach and referee volunteers.  All AYSO training is FREE.
  • Go to our Training Page to learn more detailed steps for accessing AYSO-U.
  • Review further down this page the online training requirements for Coaches (Head and Assistant) and Referees (Center and Assistant).
Step 6: Complete In-Person Training.
  • Prior to each season, AYSO offers age-appropriate coach training for the age group(s) you’ll be coaching.
  • Review further down this page for in-person training requirements for Coaches (Head and Assistant) and Referees (Center and Assistant).
  • Go to our Training Page to learn more detailed steps for finding scheduled in-person training dates for coaches and referees.
  • Referee Volunteers who are interested in getting paid to officiate non-AYSO matches in addition to volunteering for AYSO matches, will need to complete U.S. Soccer’s Grassroots license training. 
  • To enroll for a Grassroots license course go here and enter “Illinois” in the Location field.
  • The U.S. Soccer Grassroots license- if matched with AYSO’s online training- fulfills requirements to officiate AYSO matches as a volunteer.
  • AYSO Referee training is free, U.S. Soccer’s Grassroots license training is not free.
  • AYSO 300 will reimburse active AYSO member families (adults or kids 13 and older) $25 for each adult or youth in the family who completes the Grassroots certification in the form of a registration refund.
  • Email proof of completion of Grassroots license/certification to youthref@ayso300.org
Step 7: Get your gear!
  • For Referees, AYSO will provide FREE referee shirt, shorts, and socks + whistle/lanyard + AR flags (for U9 and older).  To coordinate a pickup of gear, please email youthref@ayso300.org
  • For new Head Coaches, AYSO will provide at Org Day a ball bag which includes age-appropriate soccer balls, first aid, pump, and ice packs. 
  • For Assistant Coaches, no gear or supplies are provided.
  • Review our Calendar or Facebook Events Section for scheduled Org Day dates and times.  But do not attend Org Day unless you know for certain that you’ve been assigned as a Head Coach for your child’s team.
Step 8: Referees - Schedule and work games!
  • Referees self-schedule themselves for their child’s matches and any additional open games they’d like to work by logging in at our Referee Scheduler
